Introduction

Welcome to nunia. In this video we show the data exchange: requesting documents from the client, providing the financial statements and giving the auditor read-only access.

Requesting documents from the client

You open the data exchange in the sidebar under “Closing”. Under “Request from the client” you enter up to two recipients, optionally with a personal message. In the second step you list the documents – such as the bank statement at the balance sheet date. You assign each document to an item in the closing file, optionally the account too. Instead of a document, you can also ask a question, which the client answers right in the portal.

In the third step you set the deadline. nunia reminds the client itself – about seven days after sending and every five days after that, until all is submitted. From the third reminder, a copy goes to the engagement lead; on the right you see all dates in advance. With one click you send the request.

The client portal

The client gets an e-mail with the link to the client portal. There they request a one-time code, which is sent to them by e-mail – so access is doubly protected. They see all items with the deadline, upload the documents and answer the questions. Anything missing can be submitted later; until then nunia reminds them of the open items. With “Submit” the submission is with you.

Tracking progress and taking over

In the status overview you track every dispatch: sent, opened, reminded, submitted and taken over. You see which items have arrived and read the answers. You can also trigger a reminder yourself if needed, or pause it. When taking over, you file the documents in the closing file at the assigned item.

Providing the financial statements

Under “Provide to the client” you send the final financial statements via the same portal. Always delivered is the current PDF version from the filing area. When the client retrieved the document is shown under “Provision & retrieval”.

Access for the auditor

For the auditor, open the “Auditor” button in the closing process. You enter the e-mail addresses and choose how long access is valid. The auditor receives read-only access to the closing; if the internal review is still open, nunia points this out. You will find more tutorial videos on nunia.ch. Until next time.
